Before you beginThis policy is preserved from the prior site and is general information, not legal advice. SPA should have counsel review it whenever its tools or data practices change.
1. Information we collect
- Contact and profile information: name, email, phone, city/state, age bracket, and emergency contact for events.
- Registration and volunteer details: event selections, divisions, availability, roles, hours served, and shirt size.
- Donation and transaction information: amounts and limited payment metadata; processors handle card data, and SPA does not store full card numbers.
- Communications: messages, feedback, applications, and surveys.
- Device and usage information: IP address, browser, pages viewed, referring/exit pages, and interactions collected through cookies or similar tools.
- Optional photos or video from tournaments and community events, as permitted by releases or waivers.
2. How we use information
- Operate, secure, and improve the website, programs, tournaments, clinics, and volunteer activities.
- Register participants, manage brackets and schedules, coordinate volunteers, and send logistical updates.
- Process donations and sponsorships, provide acknowledgments or receipts, and recognize supporters with consent where required.
- Send event, impact, and opportunity announcements, with an option to unsubscribe.
- Maintain event safety and integrity, measure outreach, improve accessibility, and comply with legal, tax, and reporting obligations.
3. Legal bases for EEA/UK visitors
Where GDPR or UK GDPR applies, SPA relies on contract to process registration or donations, legitimate interests to operate and communicate, and consent for certain marketing, analytics, cookies, or media uses when required.
4. How we share information
- Service providers such as registration platforms, volunteer apps, email tools, payment processors, and hosting providers—only as needed.
- Vendors or sponsors when limited information is needed for on-site services, raffles, or benefits. SPA does not sell personal information.
- Legal or compliance recipients when required by law, needed to protect safety, or necessary to enforce policies.
- Other parties at your direction, such as when you opt into brackets, leaderboards, or acknowledgments.
5. Retention
SPA retains personal information only as long as needed for these purposes and for legal, tax, and reporting obligations. When information is no longer needed, SPA takes reasonable steps to delete, de-identify, or securely archive it.
6. Children’s privacy
Youth may participate with appropriate parent or guardian involvement. For children under 13, or as required by local law, a parent or guardian must provide required consent. Contact SPA if you believe a child’s information was collected without consent.
7. Cookies & analytics
SPA and its providers may use cookies, pixels, and similar tools to understand use, remember preferences, and measure outreach. Most browsers allow cookie management, although some features may not work without them. SPA does not currently respond to Do Not Track signals.
8. Your privacy rights
Depending on location, you may have rights to access, correct, delete, or receive a copy of personal information and to opt out of certain processing. California residents may have additional CCPA/CPRA rights. SPA does not sell personal information as defined by those laws. To exercise a right, use the unsubscribe link in an email or contact info@spapickleball.org. SPA may need to verify the request.
9. Data security
SPA uses reasonable administrative, technical, and physical safeguards designed to protect personal information. No system is perfectly secure; use care when sharing information online.
